Job Description
Position Summary The Event Lead reports to the Events Manager and oversees the logistics, administration, marketing, and metrics for an exciting portfolio of events and wine club programs. The Event Lead is the face of the business and acts as a liaison between customers, vendors. suppliers, and other stakeholders. This person must be able to juggle many responsibilities at once. They need to manage package details, training, customer service issues, inventory tracking and execution of event set up, and the breakdown of event spaces. The Event Lead also needs to ensure that all event spaces are presentable for potential customers when walk-throughs take place.
Essential Duties and Responsibilities The essential duties include, but are not limited to the following:
- Primary contact person for events
- Establish and update as needed the event package details, customer document details and events specific software programs.
- Ensure that all events run smoothly and efficiently
- Generate innovative event ideas and effectively promote our event spaces, wines and wine club offerings.
- Establish and maintain marketing and client list
- Develop enhanced networking and marketing strategies for events, leveraging various outreach channels to reach an even wider audience to bring in new customers along with maintaining existing customers.
- Maintains relationships with vendors including, but not limited to, rental companies, entertainment suppliers, caterers, and transportation companies
- Supports the manager by handling various tasks before, during and after events.
- Strong problem solving ability organizational skills and attention to detail with knowledge of event logistics and procedures.
- Manage inventory of supplies necessary for events such as glasses, table cloths, etc.
- Collaborate with managers and communicate all pertinent information
- Ability to work well under pressure and adapt to changing situations.
- Perform any other duties as assigned by upper management
Required Skills and Qualifications
- Bachelor's degree in hospitality, business, or related field
- 3-5 years experience in event production, similar customer service environment
- Ability to work on multiple projects and manage time without supervision
- Maintain a flexible schedule, including availability for weekends, holidays, early mornings and late evening
- Proven ability to drive sales through effective leadership
- Strong knowledge of event marketing strategies and techniques
- Ability to upsell additional services or products to clients
- Excellent organizational skills with the ability to multitask and prioritize effectively while maintaining meticulous attention to detail
- Excellent organizational, communicating, interpersonal, and problem-solving skills
- Analyze data alongside the Events Manager, spotting trends and identifying areas for improvement to maximize the value and impact of events
- The ability to take and pass the following trainings:
- Sexual Harassments Prevention Training for Managers
- Responsible Beverage Service (RBS) Training Program
- California Food Handlers Card, if applicable
