Transaction Coordinator – Keep Deals Moving, Keep the Team Thriving We’re looking for an experienced, detail-oriented Transaction Coordinator to join our fast-paced, high-performing real estate team in Vancouver, WA. This is a full-time, on-site position, where you’ll work closely with our agents, staff, and designated broker to oversee the flow of real estate transactions from start to finish. Your organizational skills and proactive communication will assist in keeping everyone on track and ensure clients enjoy a seamless experience from listing to closing. Transaction Management Overview: As a Transaction Coordinator, you will play a vital role in supporting our agents and ensuring a seamless transaction process from listing to closing. For new listings, you will handle all backend setup, including inputting files into SkySlope, initiating MLS entries, uploading supplemental documentation, and sending introductory emails to clients. You’ll also coordinate with vendors to order signs, open pre-escrow, and ensure required documents—such as disclosures and lead-based paint forms—are completed and signed promptly.   Throughout the sales process, you'll serve as the central point of contact for the agent, maintaining consistent communication via email and weekly check-in calls. You’ll distribute introductory information and the purchase & sale agreement to all relevant parties, create and send custom transaction timelines and manage status changes in MLS. You’ll also support the agent in completing all SkySlope checklist requirements, including documentation uploads and status updates. At closing, you’ll send final communications to cooperating agents, coordinate sign removal, and formally close out the listing in the MLS. Your attention to detail and proactive communication will ensure transactions are managed efficiently, agents are supported, and clients receive a professional, streamlined experience. Responsibilities: • Conduct weekly check-ins with agents to provide updates, gather information, and ensure timely progress on transactions • Collaborate closely with the entire team and designated broker to maintain a smooth workflow and strong communication • Approach challenges with a solution-oriented mindset and the ability to resolve issues quickly and effectively • Adapt easily to interruptions and shifting priorities in a fast-paced, high-volume environment • Learn quickly and stay ahead of evolving processes, tools, and transaction requirements • Understand and apply standard real estate contracts and documentation with accuracy and confidence • Maintain a strong understanding of real estate contract timelines to help keep transactions on track and compliant • Leverage technology to streamline workflow—must be comfortable navigating CRMs, MLS platforms, SkySlope, Canva, e-signature software, and other industry tools • Work efficiently across multiple systems and digital platforms with a high level of proficiency and minimal supervision Qualifications: • Previous experience as a Transaction Coordinator in real estate or in a similar office administrative role • Exceptional attention to detail with the ability to complete tasks accurately and avoid errors • Strong communication and interpersonal skills to work effectively with agents, leadership, and team members • Knowledge of real estate transaction processes and legal documentation is highly recommended, but not required • Proven ability to work efficiently in a fast-paced, deadline-driven environment • High level of professionalism, discretion, and integrity in all interactions and communications • Flexible and adaptable, with the ability to manage changing priorities and handle multiple tasks simultaneously • Strong computer literacy with the ability to efficiently navigate digital tools and cloud-based systems Join our fast-moving, collaborative team as a Transaction Coordinator and play a key role in delivering a smooth, high-quality experience for our agents and clients.
