Icon Smile Studios is a leading, multi-specialty dental organization dedicated to providing exceptional orthodontic, pediatric, and periodontal care. We are growing quickly and are looking for motivated, patient-focused professionals to help us deliver a five-star experience from the very first call.
As an Orthodontic Patient Experience Specialist, you will be the voice of Icon Smile Studios for our orthodontic division. Your role is critical in ensuring each patient’s journey begins with clarity, compassion, and confidence. You will handle incoming calls, assist with appointment scheduling, explain treatment processes, and support patients and families with excellent customer service.
Answer incoming calls and respond to patient inquiries with professionalism and empathy
Schedule new patient consultations and existing patient appointments accurately and efficiently
Verify basic insurance information and communicate pre-consultation expectations
Assist with treatment follow-up calls, rescheduling, and no-show outreach
Navigate orthodontic scheduling templates and provider preferences
Collaborate with treatment coordinators and clinical teams to support seamless care delivery
Maintain detailed and accurate documentation in our patient management systems (e.g., Ortho2 Edge, OrthoFi)
Uphold Icon Smile Studios’ commitment to exceptional service in every interaction
1–2 years of experience in dental, orthodontic, or healthcare-related call center preferred
Strong communication skills, both verbal and written
Friendly, patient-first attitude with a solutions-focused approach
Experience with dental software (Edge Cloud, OrthoFi, etc.) is a plus
Ability to multitask in a fast-paced environment and maintain attention to detail
Bilingual (English/Spanish) is a plus
High school diploma or equivalent required; additional dental or customer service training preferred
