Job Description

Project Administrator Job Overview:

The Office/Project Administrator plays a crucial role in supporting our team by overseeing administrative tasks, ensuring the smooth operation projects, and facilitating communication between various customers and members of the team. This role requires excellent organizational skills, attention to detail, and the ability to manage multiple tasks simultaneously in a fast-paced environment.

Key Responsibilities:

Project Coordination:

  • Assist in planning, organizing, and coordinating schedules
  • Maintain customer relations on project updates.

Documentation and Reporting:

  • Maintain comprehensive project documentation, including contracts, plans, and specifications.
  • Prepare and distribute project status reports, and other relevant documentation.
  • Ensure all project files are organized and up-to-date.

Communication and Liaison:

  • Act as the primary point of contact for project-related communications between project managers, subcontractors, and clients.
  • Coordinate and schedule templates and installs
  • Facilitate clear and effective communication

Administrative Support:

  • Provide administrative support to upper management and the team, including scheduling, filing, and data entry.
  • Manage correspondence, emails, and phone calls related to project activities.
  • Assist with other administrative tasks as needed to support project goals.
  • Assist in preparing and monitoring project time tracking.

Organizational Excellence:

  • Implement and maintain organizational systems and processes to ensure efficient workflow.
  • Prioritize tasks and manage time effectively to meet project deadlines.
  • Ensure all project activities are well-documented and easily accessible for team members.

Qualifications:

  • No experience necessary
  • Strong organizational and multitasking skills.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Programs
  • Ability to work collaboratively in a team environment.
  • Ability to work in a fast-paced, dynamic environment with multiple project deadlines.

Preferred Qualifications (Not Required)

  • Degree in construction management, business administration, or a related field.
  • Proven experience in a similar role within the construction industry.
