Description Step into this high-profile Executive Assistant role supporting top municipal leaders in San Marcos. This position is perfect for an experienced professional who thrives on coordinating complex schedules, managing high-level communications, and navigating the complexities of public sector operations. You'll play a critical role in ensuring the efficiency and success of key officials and their teams, all while shaping the future of a growing municipality. Key Responsibilities: + Coordinate executive calendars, scheduling appointments, meetings, and events while preparing and distributing agendas using Microsoft Outlook. + Draft and proofread correspondence, such as memos, presentations, and official communications; proficiency in Microsoft Word is essential. + Handle sensitive data and confidential materials related to municipal operations, ensuring compliance with city policies. + Facilitate board and council meetings by preparing presentations, gathering documents, and recording minutes using Adobe Acrobat and PowerPoint. + Manage travel arrangements and reimbursements for senior municipal officials, handling booking, expense reports, and expense reconciliation. + Collaborate cross-departmentally to organize citywide initiatives, events, and community engagement programs. + Support HR-related functions such as onboarding of new administrative staff and providing orientation materials within the municipal office. Requirements + Bachelor's degree in Business Administration, Public Administration, or similar field preferred. + 5+ years of experience as an executive or senior administrative assistant, ideally within the public sector. + Expertise in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint) and advanced writing/proofreading skills. + Ability to prioritize tasks effectively in a fast-paced environment, with strong decision-making skills. + Understanding of local government processes is a strong plus.
