Your Opportunity with ECG: C-Suite Executive Assistant

 

We are seeking a resourceful, detail-driven, and highly professional Executive Assistant to support C-Suite executives in a dynamic, fast-paced environment. This individual will serve as a trusted partner to senior leadership, helping to drive efficiency, maintain focus, and ensure the smooth operation within the C-Suite office. The Executive Assistant will collaborate across the ECG leadership team.

 

The position includes, but is not limited to, the following key responsibilities:

  • Serve as a key liaison and thought partner to executive(s), managing up with confidence and ensuring their priorities stay on track.
  • Own complex calendar and travel management, frequently across multiple time zones.
  • Anticipate needs, streamline workflows, and proactively remove obstacles.
  • Prepare high-quality presentations, communications, and briefing materials with speed and precision.
  • Act as a gatekeeper and gateway, balancing access to executive(s) to enable strategic focus.
  • Build and maintain strong relationships across the firm, with clients, and external partners.
  • Handle sensitive matters with the utmost confidentiality and professionalism.
  • Support initiatives and strategic priorities with agility, judgment, and follow-through.
  • Demonstrate exceptional organizational skills, a proactive approach, and the ability to manage multiple tasks with precision and discretion.

Additional responsibilities:

  • Partner with team members to manage projects, workflows, and deliverables.
  • Serve as a liaison for Siemens Healthineers executive counterparts, managing meeting cadences, project coordination, and international travel involving multiple time zones.
  • Assist with general office management by collaborating with office assistants in overseeing the office’s smooth and efficient day-to-day operations.
  • Lead or assist with planning, organizing, and coordinating office meetings, internal and external events, and company gatherings, such as office social and community service events.
  • Provide logistical support for local meetings, conferences, and events, such as client receptions and dinners, ensuring seamless execution.

Our Expectations of You

  • 5+ years of experience supporting C-suite leaders, ideally in consulting or professional services.
  • Bachelor’s degree in business-related field or equivalent.
  • Mastery of Microsoft Office, especially Outlook, PowerPoint, and Excel.
  • Proven ability to manage executive travel.
  • Impeccable organization, attention to detail, and follow-through.
  • Strong communication skills, discretion, and sound judgment.
  • Self-starter with the ability to prioritize, pivot, and thrive in a high-performance culture.
  • Self-confidence with a calm presence under pressure and the initiative to take on stretch assignments.
  • Ability to anticipate needs, think strategically, and take action with limited guidance.

The estimated base salary range for this job is $48-$52.88hourly. It represents a good faith estimate of the range that ECG reasonably expects to pay at the time of the job posting. The actual salary paid will vary based on multiple factors, including but not limited to years of experience, special skills, and market changes. The job is eligible to participate in ECG’s benefit plans, which include medical, dental, and vision coverage; a 401(k) matching program; PTO; and other wellness programs .
